Project Overview

[url removed, login to view] is a paid subscription event-listing site for vendors, crafters, event promoters and concessionaires. These subscribers expect up-to-date, easy to find and sort event listings according to their needs. In order to better deliver on its current promises and add additional services, the site requires redesign and migration to a new platform.

Right now the site is a hodgepoge of proprietary code (with no documentation or notes), amember, php, sql, static pages, Aweber, and Clickbank. There are numerous bugs in the code and it is difficult to manage the site or add services.

The site was purchased in December 2008 with the intent of turning it into the single destination for small business vendor and event promoters in the festival industry to get the web-based information, tools and resources they need to simplify their business practices and increase profitability.

Needs:

1. Fix the event listing, sorting and results features to enable users to get up-to-date and usable information from current site.

o Currently have a team working on this. We've partnered with another site to take their raw data via api and are working on new forms to display info on our site. We're also working on forms for adding events on our site, that match the ad forms on [url removed, login to view] We have a programmer who's working on making the back-end work and fixing the search an sort capabilities. Given the seeming complexity of just this fix, would it make more sense to just build a new event database and migrate the site rather than trying to fix something that's really broken? Is there a better middle ground?

2. Migrate the site to the new platforms and plug-ins so we can add additional content and functionality as well as make sure css files are search engine friendly.

3. Maintain site rank, visitor #s, income, and Google placement during the migration and exponentially increasing these numbers when the migration is complete.

Solution Ideal:

We are seeking a comprehensive solution or series of complimentary solutions that include the following:

1. Site redesign that is more updated, user-friendly, and provides space for content and non-intrusive advertising.

2. Migrate site to content management system (Joomla?) that will enable us to seamlessly incorporate the following functionality through add-on modules or software:

„X Administrator - Automated subscription renewal and billing

„X Administrator - Manage email and newsletter double-opt-in subscribers and automated emails over 100K person lists

„X Administrator - Advertiser and Ad management w/ advertiser reporting and billing capabilities

„X User - robust event, article and tools search and sorting

„X Member - set preferences re email, account info, rss feeds, newsletter, forum, user

workspace, create user profile and user calendar

„X Community forum

„X Community exchange...haves, wants, needs, and positions think ffn craig's list

„X Member - workspace for managing applications, photos, licenses, tracking events, deadlines and

applications with auto info population drawn from event listing and user profiles, upload and manage files

„X Member profile -- mini member website

„X Administrator/ Platform (capacity for future functionality) web-based tools for users including 'constant contact', business management, inventory tracking and roi, Member ability to invite fan base to come to event with coupon

„X Administrator - Automated, sortable reports on events, members, event promoters advertisers etc...with ability to identify needs, wants, trends, use by different audience segments.

„X Event promoter capability to invite vendors to participate in event and give coupons

„X Event promoter capability to manage events...add/edit/delete

„X Event promoter capability to manage vendors...communicate, add, delete, keep track of contracts and applications

„X Event promoter profile -- mini promoter website

„X Supplier profiles -- mini supplier sites

„X Administrator -- website to automatically generate vendor, supplier and promoter directories pull info from profiles

„X Administrator - As events are added, automatically send email to contact asking them to verify details. Set up automated reminder to go out 5 months prior to the month of the event the following year asking contact to update event info.

„X Administrator - Automated report that lists what events updated when.

What needs to Migrate?

„X Event database -- (35,000) may not be necessary if API can be done without it or if new d-base would be better solution

„X Current and Past Member Database (4,000)- Amember

„X Current and Past Newsletter Subscribers (17,000) - Adweber

„X Website content - Articles...less than 150 pages

Time Frame

1. The need to get the event listing api working along with the related search and sort capabilities are critical. We are getting a lot of complaints and user cancelations from members unable to find what they need in the manner they need it. Urgent -- ASAP 2 Weeks

2. Migration...ideally the sooner the better, however, because of limited budget may need to prioritize functionality improvements or compromise on timeline. 3 months.

Budget

I don't have any idea what this will cost and am trying to get an idea from a number of parties. We have to do this so its going to cost what it will cost. We may delay adding some functionality, but the majority of what is outlined above is needed.
