Hail restoration contractor letter to prospective client

I need to get an appointment with a residential condominium complex so that I can perform a specialty inspection for hail damage to the roof shingles. The inspection costs nothing and there is no obligation. If I find damage I will show the Board of Directors the photos and describe the dangers of hail damage. I lead them into signing a contingency contract with me that if the adjuster totals the roof out our company performs the work.

I have performed this way for many of the neighbors withing a couple miles of this condo.

Alron Construction works closely with the insurance carrier's adjuster to make sure that the damages are fully recognized and that the proper value for the restoration of the damaged property is paid. We insurance and contracting profession has agreed to use an estimating platform called Xactimate which allows us to establish pricing based on zip codes and product descriptions.

The message I would like to get across to the Board of Directors is that they are charged with thoroughly investigating the possible need to file a claim. They are liable if they refuse my offer for an inspection and undocumented hail damage leads to leaks and interior mold at a later date. The other residents have the basis for a lawsuit against the Board.

If I find hail damage and the condo signs and agreement with Alron, then we get the new roofing project funded through insurance dollars with the exception of a small deductible/co-pay which the condo pays for out of their budget. Usually major projects such as roofing, painting and paving cause condos to force "special assessments" on the condo members. Sometimes the condos have been managed properly and the money for a major project was already saved up in a "reserve account". But, this has been a tough economy with lots of foreclosures, with lots of condo owners paying their dues... Sufficient reserves in the condo world seems to be unusual.

Only a thousand feet away from this condo, Fairways at Royal Oak, one of my residential clients reached outside his door during the hail storm and grabbed a hail stone. Amazingly it was the size of a golf ball. So, he photographed the hail stone beside a golf ball. Central Florida rarely sees hail this size.

I would like this letter to be one to two pages max.

Hopefully the writing can be warm, yet persuasive and confident.

Blending fear/pain words like hail, leak, mold, assessment, liable can be accomplished without alienating them from our company.

I hope for the Board of Directors to view my offer as genuinely helpful.

I have attached some of my rough draft letters. One of the attached documents is the introduction language I use when I submit a photo report. Also my letterhead is attached so that you will see how much text you can fit on that front page.

(My next project will be a campaign to introduce our company with a simple page or two which I will take to property managers in my region and hand deliver with gift baskets of baked goods. I want to leave something behind which summarizes what we discussed. If I am not afforded the opportunity to explain what Alron Construction does I must trust that the Brochure will quickly speak for me. I will call on the property managers again until I get to speak with them. I will also have a website designed which provides just enough information to seem professional, yet leads the property management firms to invite me to meet. I want to cater training lunches or breakfasts for property mangers of condominiums and also large commercial flat roofs. )
