Platform : Microsoft SharePoint Portal Server 2001 under Windows 2000 Server SP1 Create an archive and unarchive function for document management 1. Archive function Create an extra link with the name : "Archive" in the show actions menu under "Documents Inspection" page. When this link is clicked, the target document will move to a corresponding folder under archive folder. For example, under the show action menu , if I click "archive" to archive a document : [login to view URL] in the folder \Documents\Product\Brand3. this document will move to folder : \Documents\Archive\Product\Brand3. ( All folder is preset, it is no need to create folder in the program ) After that, the pages redirect back to "Document Library" pages, and the archived documents will be disappeared at this time. This link should be available for co-ordinator only. Also, only published document is allowed to be archived. Therfore, this link will not appear 1. when the user is reader or author 2. the target document is not yet published The archive folder is set to be available for co-ordinater only during system setup. 2. Unarchive function In case the archived documents need to be restore back, the co-ordinator can navigate to corresponding folder under archive folder. At the page where the document list is displayed a link named : "Unarchive". When this link is clicked, the corresponding docuement will restore back to its original position. For example, when the "Unarchive" link relate to document : \Documents\Archive\Product\Brand3\[login to view URL] is clicked, the document will restore back to its previous original location : \Documents\Product\Brand3\[login to view URL] And the document under archived folder is deleted.
