Our family-friendly nonprofit organization is currently seeking an ambitious, creative and innovative Administrative Assistant. Organizational ability is a must. Candidates who are able to switch between duties with ease will be successful. He or she will perform the required administrative duties for the department
ESSENTIAL FUNCTIONS/DUTIES :
Provide clerical support
Order marketing promotional items and office supplies for the department, and manage and track inventory.
Answer the department phone and be responsible for coverage during business hours 8:00am-4:30pm
Collect and distribute interoffice mail
Support the department maintenance of all lists especially membership data, by providing data entry, data clean up, list creation, removal requests, and management for campaigns
Support events with shipment and packing of sales and marketing materials, help to execute local special events
Updates job knowledge by participating in educational opportunities.
Perform other duties as assigned.
JOB QUALIFICATIONS :
Knowledge, Skills, Abilities :
Ability to manage simultaneous, detail-oriented projects with multiple deliverables and stakeholders, in detail and on deadline.
Ability to manage complex tasks and clerical duties to completion
Ability to implement and maintain effective processes for all projects and deliverables
High level technical skills required including advanced proficiency in Microsoft Office products, particularly Excel, PowerPoint and Word; and database experience.
Knowledge of general office practices, procedures, and equipment
Strong attention to detail and exceptional organizational skills including an ability to multitask and organize time productively
Solid verbal and written communication skills including being articulate and able to understand instructions; Spanish fluency desired.
Strong interpersonal skills and capability to develop and sustain positive and productive internal and external relationships
Accountable and achievement orientated
Demonstrate analytical skills and self-starting ability and capability to work independently
High level of professionalism
Team player with a positive attitude
