Convert functionality of spread sheets to cloud/web-based mobile friendly application

Individual staff members from various sections within licensed venues are currently completing an excel spread sheet at the end of each shift with that till’s takings. The sections range from restaurants, to bottle shops (off license premises), to gaming (betting) counters and bars. The information is partly standardised in cell format, but does not always check for errors or inconsistencies before it is sent to head office and the employee leaves the site. Given the venues process a lot of cash, it is very important that reported takings are accurate.

Head Office will manually collate multiple spread sheets for consolidation and reporting purposes, into an all-of-venue view, and further into an all-of-group view for groups with multiple venues. Work sheets need to be sourced and collated by team leaders and quality checked for accuracy. Only minimal, basic, analysis can be currently completed with data being lost at times also.

We are looking for a cloud/web-based mobile friendly application that transforms functionality of existing spread sheets which can be loaded onto venue screens through a desktop or laptop (eventually linking to individual tills) with information that is currently entered, but in a simpler, more intuitive, and more accurate process. Staff would be prompted for their data to be completed before signing off and submitting their timesheet for that shift. The solution should allow for collation of data for further analysis and comparison to other data.

The solution needs to enable different venues to alter the layout of the data input page, add in or re-name additional tills, bar areas, hide areas on the page that are not required (for example, hide gaming). Some venues will have multiple tills in each bar, some venues will have multiple bars and gaming areas. Some will need multiple tills in multiple bars and multiple gaming. It also requires an autosave functionality to provide an audit trail of when last saved, consolidation for data weekly, monthly, quarterly and yearly, all viewable across web, tablet and mobile devices.

An existing spread sheet attached (called Project Spec v1), with dummy data, to indicate what the site is to replicate is included for reference. The specific areas and terminals are customised by users at each site.
