Client: small translation company that has employees in 5 different locations.
Goal: simple and functional custom made orders, clients, suppliers database
This is just a basic brainstorm of what would be essential – we would write up a more detailed description once we actually start with the project.
The database needs to have 2 sides:
- the main database data that would be kept securely (!) on our web server (but there has to be an option for offline backup)
- the desktop client that should be executable on any Windows PC (no Mac or Linux support required).
Basic content description - required:
– customer data (company name, registration, address, e-mail, phones, URL, VAT nr, working language, payment terms, comments) + client contact persons (name, e-mail, language, phones, position, comments) data.
-order data (customer – selectable from client data, contact person, order nr – auto generated, product ID (selectable from list), source and target languages, unit price+currency, quantity+quantity units as a drop down, discount (that would auto calculate to price), price (calculated from unit, unit price, discount), total price with and without VAT, comment, end client – order must have the option to contain several lines with all this data changing on every line but then calculating orders total price. Order deadline and actual delivery date (that also marks it as delivered when inserted).
- purchase order data (PO number generated from order nr+ year nr+supplier ID, project name, product ID, ), source and target languages, unit price+currency, quantity+quantity units as a drop down, discount (that would auto calculate to price), price (calculated from unit, unit price, discount), total price with and without VAT, comment. Would be good to have a button to copy duplicating data from order data. Button to print purchace order with the data into PDF or HTM based on a predefined format.
- supplier data (name, address, e-mail, phone, VAT nr, source and target language pairs + price data + personal data, native language, picture, files upload for CV, references or similar. Also needs an option to find translators based on language pair.
-pending orders view (meaning confirmed orders that have not been marked as delivered)
All this data should work together, so the customer can be selected from the order data view and the supplier from the purchase order data view etc.
Secondary content – preferred if possible but might me added at a later update:
- invoice printing to PDF or printer based on order data
- issued invoices list and status
- received invoices and status
- balance sheet
- statistics module (units in language pair), average price per unit (sell/buy), jobs for clients, clients shares etc.
- multiple databases for different companies
User management:
Multiple user names/passwords required with two different user levels:
Level 1 – all rights to edit data (incl users, units, services, currencies etc)
Level 2 – data entry end viewing rights for orders (not invoices or balance sheets) and statistics, can create and edit orders, add clients and suppliers
Platform:
Everything above can be achieved with some coding in Microsoft Office Access (we are using it currently) but we want a simple database soft that is independent from major software and customised for us. The client side can be installable but the ideal solution would be a single file executable that can be moved and used anywhere as long as you have the user names and passwords.
